A. Privacy Policy Overview


Our Commitment:

Extreme Dream Ministries Society (EDMS) is committed to protecting your privacy. We value the trust of those we interact with and recognize that maintaining this trust requires that we be transparent and accountable in how we treat the personal information that you choose to share with us. For these reasons, we have created the following privacy policy as it confirms our dedication to protecting your privacy. What Personal Information Do We Collect? Personal information only becomes known to EDMS when you provide it to us. Personal information is information about an identifiable individual.
  • Any information that can be used to distinguish, identify or contact a specific individual.
  • An individual's opinions, interests, beliefs, as well as facts about, or related to, the individual may also be considered personal information.
  • We will collect your credit card number, security code and expiration date to complete a financial transaction.
  • We will collect your banking information if you choose to be a monthly donor.

How Is Personal Information Used?

EDMS collects personal information for a variety of purposes including, but not limited to:

(i) Informing subscribers of EDMS events, materials, news and updates including; YC Conferences, YC Rallies and Global Youth Missions.
(ii) Processing registrations for EDMS events; including YC Conferences and YC Rallies.
(iii) Processing volunteer applications for EDMS events; including YC Conferences and YC Rallies.
(iv) Processing exhibitor and advertiser applications for EDMS events; including YC Conferences and YC Rallies.
(v) Processing team leader applications for Global Youth Mission short-term missions trips.
(vi) Participating in surveys and contests.
(vii) Managing employee payroll, benefits and evaluations.
(viii) Establishing and maintaining lists of donors.

Sharing of Personal Information with Third Parties

EDMS does not sell, barter, trade or give away your personal information to third parties. For example, we do not provide our mailing lists to other ministries. EDMS stores and maintains personal information in conformity with the requirements of the Personal Information Protection and Electronic Documents Act (PIPEDA).

B. Privacy Policy Principles


Accountability

EDMS is responsible for the personal information collected and maintained by it and which is under its control. In order to fulfill this responsibility:

(i) EDMS has designated a Personal Information Compliance Officer (PICO) to be responsible for the day-to-day care and control of personal information. The contact information for the PICO is set out in Section C below.
(ii) We will train our employees and volunteers about our policies and practises respecting personal information.
(iii) All persons, whether employees or volunteers, who collect, process, or use personal information shall be accountable for such information to the PICO.
(iv) Our Privacy Policy will be available on our websites or a paper copy upon written request.

Identifying Purposes

EDMS is committed to openness to you regarding its collection and use of personal information, as discussed above. To demonstrate this openness, we require the consent of our clients and mailing list subscribers prior to using their personal information for any purpose other than that for which it was originally collected. Similarly, if any individuals wish to be advised of the personal information we have related to them, they can contact us at the address set out in Section C below.

Consent

When you provide us with personal information to complete a financial transaction we assume you consent to our collecting it and using it for that specific reason only.

When you provide us with personal information to complete an application as a volunteer or a GYM team leader we assume you consent to our collecting it and using it for that specific reason only.

If we ask you for personal information for any other reason, we will either ask you directly for your consent or provide you with an opportunity to say no.

EDMS will disclose your personal information, without notice, only if required to do so by law or in good faith we believe that such action is necessary to: (a) conform to obligations imposed by law or statute; (b) meet an emergency need; and/or (c) as required pursuant to a criminal investigation.

Limiting Collection

EDMS restricts the collection of personal information only to that information that is necessary for the limited purposes noted above. We are committed to collecting personal information in a fair, open and lawful manner. For this reason, we do not indiscriminately collect personal information. We collect personal information to fulfill the above-noted purposes only, and for no other purposes.

Limiting Use, Disclosure and Retention

EDMS does not use personal information for purposes other than those for which it was originally collected, unless it has first obtained the consent of the person from whom such information was received. We retain personal information only for as long as it is needed and only for the fulfillment of the purposes for which it was originally collected.

Accuracy

EDMS is committed to maintaining accurate, complete and up-to-date personal information. If you are aware of changes to the personal information you have given to us, simply inform us of the changes and we will update our records accordingly. You may check and correct your personal information by contacting our PICO assigned to oversee the day-to-day care and control of personal information by writing or emailing your request to the address set out in Section C below.

Safeguards

EDMS has developed and implemented security safeguards appropriate to the sensitivity of the personal information kept by us. We also ensure that any of our employees and volunteers who deal with personal information are properly trained and are aware of the necessary and appropriate measures required to protect personal information. Any personal information kept by us is disposed of or destroyed once it is no longer needed to meet the purposes for which it was collected.

Openess

EDMS makes information about its policies and practices respecting the collection and maintenance of personal information available to all interested parties. We are pleased to answer any questions that you may have regarding the collection and maintenance of personal information. Individual Access

You can also request access to your personal information held by us. However, we reserve the right to confirm the identity of the person seeking access to personal information before complying with any access requests. Challenging Compliance

As noted above, EDMS has designated a PICO who is responsible for the day-to-day care and control of personal information. The PICO will receive and respond to all information requests regarding our privacy policies or about your personal information under our care and control. We investigate all complaints received by us and will respond in writing in a timely manner. If any complaint is found to be justified, then we will take appropriate measures to resolve the matter to the satisfaction of the complainant.

C. How To Add, Remove Or Amend Your Personal Information

If, at any time, you wish to amend your personal information with us or remove your name from our donor, adherent or mailing lists, simply inform us in writing by e-mail at privacy@extremedream.ca or at the address below:
